New Feature: InnoCaption Bot

Caption Video Calls by Sharing a Meeting Link — No Dial-In Needed!

We’re excited to introduce a streamlined way for InnoCaption Web users to caption video conference calls—simply copy and paste your meeting link! No more phone dial-ins. Our new feature allows you to invite the InnoCaption Bot directly to your meeting, and captions will display instantly in your InnoCaption Web window.

What’s New?

Instead of calling into meetings using the old dial-in method, you can now:

  1. Copy your video conference meeting URL.

  2. Paste it into InnoCaption Web.

  3. The InnoCaption Bot will join your meeting and provide real-time captions.

Note: The host of the meeting may need to admit the bot depending on platform settings.



Platform-Specific Instructions

Microsoft Teams

  • Copy your Teams meeting link and paste it into InnoCaption Web.

  • The InnoCaption Bot will automatically request to join.

  • If the meeting is set to allow guest users to bypass the lobby, the bot will join seamlessly.

  • If not, the host must manually admit the InnoCaption Bot from the lobby.

Google Meet

  • Copy the Google Meet link and paste it into InnoCaption Web.

  • The InnoCaption Bot will attempt to join the meeting as a guest.

  • The host will see a join request and must manually admit the bot to the call.

  • Once admitted, captions will appear on your InnoCaption Web screen.

Zoom

  • Copy your Zoom meeting link and paste it into InnoCaption Web.

  • The InnoCaption Bot will join as a participant.

  • The host must:

    • Admit the bot to the meeting.

    • Allow the bot to record the meeting to enable audio capture for captioning.

      • This can be done by clicking “Participants” → hover over “InnoCaption Bot” → click “More” → “Allow to Record.”

🔒 If your Zoom meeting is configured to restrict recording or joining by guest participants, you may need to adjust these settings or admit/authorize the bot manually.

Webex

  • Copy your Webex meeting link and paste it into InnoCaption Web.

  • The InnoCaption Bot will attempt to join the meeting as a guest.

  • The host must admit the bot to allow audio access.

  • Speaker identification will only be available if:

    • The host is on a paid Webex account

    • The host enables closed captioning

    • You'll still receive captions if either of these requirements isn’t met, but speaker names will not be displayed.


Share your live Captions

Simply click the "Share your live Captions" button located on the right side of the captioning screen. This will instantly copy a unique link to your clipboard.

You can send this link to anyone—friends, family, coworkers, or attendees. All they need to do is open the link in any web browser, and they’ll be able to view the live captions in real time. No login or special software required.

It’s a quick and convenient way to keep everyone in the loop!
